We are providing you with this Privacy Policy to inform you about how we handle the personal data we collect from you as part of the application process.

Personal Data in the Context of the Application Process 

Personal data refers to information about the personal or factual circumstances of an identified or identifiable natural person. This includes information such as your name, address, phone number, and date of birth, as well as details about your specific career history, etc., which can be attributed to a specific person with reasonable effort. Information that cannot be directly or indirectly linked to your actual identity, however, is not considered personal data.

Legal Basis and Purposes for Processing Personal Data in Job Applications and the Application Process 

We appreciate your application and comply with all requirements of applicable data protection laws when handling your data. To keep the process simple for both you and us, we ask that you 1 apply only if you meet the minimum requirements listed in the job posting. Please also refrain from sending us applications that are exclusively or predominantly generated by AI; these generally cannot be considered. 

We collect and process your personal applicant data exclusively for the purpose of handling the application process and carrying out pre-contractual measures (Article 6(1)(b) of the GDPR). 

In particular, the following data is collected: 

• Name (first and last name) 
• Email address 
• Phone number 
• Channel through which you learned about us 
• Qualifications 
• Salary expectations 
• Other personal data related to the position for which you have applied 

You also have the option to upload relevant documents such as a cover letter, your resume, and certificates. These may contain additional personal data such as your date of birth, address, etc. 

To decide whether to establish an employment relationship, REHAU New Ventures may also need to conduct phone interviews, online tests, and/or video interviews. In doing so, REHAU New Ventures works with external service providers to whom the data from your application required for these measures is transmitted. AI functions are used to assist in assessing whether the applicant’s profile matches the advertised job profile. No automated decision-making takes place in this process.  

Only authorized employees from Human Resources or those involved in the application process have access to your data.

Personal data is stored exclusively for the purpose of filling the vacant position for which you have applied. 

Your data will be stored for a period of 180 days following the conclusion of the application process. This is generally done to fulfill legal obligations or to defend against any claims arising from legal regulations. Thereafter, we are obligated to delete or anonymize your data. In this case, the data will only be available to us as so-called metadata—without any direct personal reference—for statistical analysis (for example, the proportion of female versus male applicants, the number of applications per time period, etc.). 

This does not apply if legal provisions preclude deletion, if further storage is necessary for the purpose of providing evidence, or if you have expressly consented to longer-term storage.

If, as part of the application process, you receive and accept an offer of employment from us, we will store the personal data collected during the application process for at least the duration of your employment. 

Disclosure of Data to Third Parties
 
The data submitted as part of your application is transmitted using TLS encryption and 
stored in a database. This database is operated by Personio GmbH, which provides 
human resources and applicant tracking software (https://www.personio.de/impressum/). In this context, Personio is our 
data processor pursuant to Article 28 of the GDPR. The legal basis for this processing is a 
data processing agreement between us, as the data controller, and Personio. 

Who processes your data? 

Personal data is transferred only to our own servers or to either internal or external 
service providers within and outside Germany or the EU. This 
data transfers to branches or external service providers outside the EEA are made 
either on the basis of an adequacy decision by the Commission (Article 45(3) of the GDPR) or 
on the basis of standard data protection clauses (Article 46(2)(c) of the GDPR), which contain appropriate 
safeguards for the data subject. 

Further Communication During the Application Process
 
As part of the application process, we also offer the option to contact us by phone, email,
or WhatsApp to ask questions or exchange other information. Please be aware of the varying levels of data protection offered by 
the individual platforms (for WhatsApp, e.g., https://www.whatsapp.com/legal/). You should use these channels only to exchange information with us that does not pose a high risk to your rights and freedoms. 

Rehau New Ventures reserves the right, in individual cases, to change the communication channel you have selected 
in order to ensure the highest possible level of data security for you. 

Data Subject Rights
 
If we, as the data controller, process personal data, you 
as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), including, where applicable, in particular the right 
to access (Art. 15 GDPR), the right to rectification (Art. 16 GDPR), the right to erasure (Art. 17 GDPR), the right to restriction of processing (Art. 18 GDPR), the right to data portability (Art. 20 GDPR), and the right to object (Art. 21 GDPR). If the processing of personal data in a specific case is based on your consent, you have 
the right under Article 7(3) of the GDPR to withdraw this consent. 

To exercise your rights as a data subject with regard to the data processed during the application process, please contact our Data Protection Officer (see Section 2). 

Final Provisions

 
We reserve the right to amend this Privacy Policy at any time to ensure that it always complies with current 
legal requirements or to reflect changes to the application process or similar matters. The new Privacy Policy will then apply to any subsequent visits to this recruiting page or any subsequent applications.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”).
